A growing recruitment operation handling high volumes of inbound candidates across messaging channels with limited screening capacity · AI & Automation · 2026
End-to-end AI recruitment pipeline — from first message to shortlist decision — replacing manual triage with structured, criteria-based automation
The hiring pipeline was fully manual and dependent on staff availability: • Every inbound candidate message had to be read and triaged by a person before any reply went out. Response time depended entirely on someone being online — qualified candidates were lost to slow responses outside business hours. • Screening decisions were inconsistent. Different recruiters applied the same job criteria differently. Nothing was scored or documented the same way twice. • Resumes arrived through messaging channels but had to be manually downloaded, renamed, and filed — with no reliable link back to the candidate's screening record. • First-round phone interviews required a recruiter to personally call every eligible candidate, ask the same set of questions, and take notes. At real volume, this was a major time sink with no scalable alternative. • There was no single source of truth. A candidate's eligibility score, resume, interview notes, and final decision could live in three different places — making it impossible to see where anyone stood. Because every step depended on a human, the process consumed the same person-hours whether handling 5 applicants or 500.
A four-component pipeline that handles the candidate journey from first message to shortlist decision: Component A — Intake and AI Screening Gateway: a messaging trigger listens 24/7 for incoming candidate messages. A routing layer separates text introductions from document uploads. Text messages are passed to GPT along with job requirements, returning a structured JSON verdict — eligible or not, a numerical score, plain-language reasoning, and criteria gaps. The system creates a candidate record and sends an immediate reply: a resume request for eligible candidates, or a respectful decline for those who do not qualify. Component B — Resume Intake and Interview Trigger: when a candidate uploads a resume, the document is retrieved, stored, and linked to the existing record. The system then triggers an AI voice interview — placing an outbound call — while a message lets the candidate know to expect it. Component C — Interview Analysis and Intelligent Routing: when the AI voice interview ends, the full transcript posts to the analysis pipeline. GPT evaluates the transcript across multiple factors — communication quality, technical depth, role relevance, and overall fit — returning a 0–100 score, a written summary, strengths, weaknesses, and a recommendation. A routing engine branches into three notification paths: a full report to the hiring manager for shortlisted candidates, a lighter flag for hold candidates, and an automatic message to the candidate. Component D — Single Source of Truth: one candidate record per person — eligibility score and reasoning, resume link, interview transcript, interview score, AI report, strengths, weaknesses, recommendation, and call metadata all in one place. Job criteria are centralized, so new roles can be onboarded in minutes without modifying the pipeline.
